Under limited supervision retrieves all medical records requests for Government Agencies, State Agencies, Insurance Companies, Court Order Subpoenas, Attorneys, Providers, Disability Services, Workman's Compensation, Social Security Administration, and other requestors and internal organization projects as needed ensuring accuracy and providing customers with the highest quality product and customer service. Using MRO (Medical Records Online), logs, monitors and tracks incoming medical records. Monitor and track what records have been received, which remain outstanding and those that have quality issues. Works directly with attorneys, judges, paralegals, insurance companies, SSA, etc. and HFHS Legal department attorneys. Performs a quality review for a valid and properly executed authorization, selects and processes paper and electronic medical records and preforms quality checks to ensure that the correct records have been retrieved. Performs medical chart review as needed before released in conjunction with the HIPAA 30 Day Statutory Law. Position is responsible for maintaining a culture of integrity referencing the Federal, State and HFHS HIPAA Privacy and Confidentiality Policies and guidelines on release of patient information. Manage receipt and tracking of internal medical records through MRO for mailed (paper, CDs) and external/ internal portals. Specialist must at all times safeguard and protect the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information. Adheres to established departmental policies and procedures as a HIM storefront, prep and call center customer service representative, take inbound calls daily and release minimal patient information through Epic, prep documents to scan to the electronic medical record and will provide customers (patients, family members, guests) with prompt, accurate and courteous, stellar customer service. 
  • Associate degree, Health Information Technology (HIT) or other health related degree equivalent, preferred. 
  • One to three (1-3) years of experience working in a Health Information Management/Medical Record office in release of information, preferred. 
  • Experience with Microsoft Office products (Word, Excel,) 
  • Experience working with physicians, attorneys, insurance companies, courts, government officials, etc. 
  • Experience with computers and an electronic medical record, release of information software. Enrolled in a Health Information Technology college program or other health related program completing medical terminology. 

  • Registered Health Information Technician (RHIT) or eligible, desired.
