Department Overview

Our Surgical Services team plays a vital role in ensuring patients receive timely, coordinated care. As a Surgery Scheduler, you will serve as a key liaison between physician offices, patients, and perioperative teams to facilitate efficient operating room utilization and seamless surgical scheduling. This role requires strong organizational skills, attention to detail, and the ability to adapt quickly in a fast-paced environment.

Position Summary

The Surgery Scheduler coordinates operating room schedules to maximize the efficient use of operating suites, equipment, and staff. Working closely with physician offices and internal departments, this role ensures surgeries are scheduled in accordance with department guidelines while accommodating physician preferences and patient needs. The Surgery Scheduler is responsible for maintaining accurate patient demographic, billing, and insurance information and assists with schedule adjustments as necessary to accommodate emergencies and unforeseen events.

Primary Responsibilities

  • Coordinate and schedule surgical procedures to optimize operating room, equipment, and staffing resources.
  • Collaborate with physician offices to obtain all information necessary to schedule procedures in accordance with departmental guidelines.
  • Assign operating suites, equipment, and block times to maximize efficiency and resource utilization.
  • Ensure accurate demographic, billing, and insurance information is entered into the electronic medical record.
  • Coordinate with Patient Admitting and other departments to prevent delays in scheduled surgeries.
  • Adjust and reschedule procedures as needed to accommodate emergencies or unforeseen circumstances.
  • Maintain effective communication with physicians, clinical teams, and patients to ensure a smooth scheduling process.
  • Adhere to organizational policies and confidentiality requirements.

Minimum Qualifications

Education

  • High School diploma or equivalent required.

Experience

  • One (1) year of applicable job-specific experience required.
  • Required professional licensure or certification, if applicable, may be considered in lieu of education or experience requirements.

Preferred Qualifications

  • Two (2) or more years of experience in a healthcare setting.
  • Knowledge of insurance verification and authorization processes.
  • Experience working with electronic medical records and scheduling systems.
  • Strong organizational, communication, and multitasking skills.
  • Ability to work effectively in a fast-paced environment and prioritize competing demands.
