General Summary
Under general supervision from the Division Head of Cardiology and the Regional Director of the Heart & Vascular Services Line (HVSL), the Senior Medical Secretary provides high-level administrative and medical operations support. This role requires strong organizational skills, the ability to manage multiple priorities, and a working knowledge of medical terminology and processes in a clinical environment. The Senior Medical Secretary will handle sensitive and confidential information, manage complex schedules, coordinate requests across multiple areas, and ensure efficient day-to-day operations for leadership within the division.
Key Responsibilities
- Provide secretarial and administrative support to the Division Head of Cardiology and Regional Director of HVSL.
- Manage calendars, coordinate meetings, and schedule appointments across multiple providers and leaders.
- Prepare, process, and track payment requests and related financial documentation.
- Handle correspondence, reports, and presentations with accuracy and professionalism.
- Gather and analyze data from multiple sources to prepare specialized reports.
- Serve as a primary point of contact for internal and external inquiries, ensuring confidentiality and professionalism.
- Maintain and organize records, files, and documentation.
- Assist with operational needs across the division, including supply ordering, billing functions, and other administrative processes.
- Support leadership in coordinating projects, initiatives, and communications.
May oversee and provide guidance to lower-level clerical staff.

Education & Experience Required
- High School Diploma or GED equivalent required.
- Completion of a one (1) year certificate program from college or technical school with at least three (3) years of office experience; OR five (5) or more years of related secretarial experience in an office setting.
- Previous medical office or healthcare experience required.
- Experience scheduling appointments and maintaining calendars is required.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of medical terminology required.
- Demonstrated ability to multitask and prioritize in a fast-paced environment.
- Strong interpersonal and communication skills with the ability to handle sensitive and confidential matters.
- Analytical and problem-solving skills to prepare reports, resolve issues, and support leadership needs.
Preferred Qualifications
- Previous experience supporting physician leadership or senior-level executives in a healthcare environment.
- Experience with electronic medical record (EMR) systems.
- Demonstrated ability to coordinate across multiple teams and departments.
