GENERAL SUMMARY: 

Reporting to the Senior Vice President of Community Health and Equity, Chief Wellness and Diversity Officer (SVP/CWO/CDO), the Director is responsible for leading long term organizational planning and improving administrative processes and policies for departments and programs across the Office of Community Health, Equity & Wellness and the Office of System Diversity & Inclusion.  
 
PRINCIPAL DUTIES AND RESPONSIBILITIES: 
  • Develop and maintain a working knowledge of HFHS policies and procedures; interpret policies and procedures for others; and ensure compliance. 
  • Develop and oversee standard operating procedures across all departments and programs. Collaborate with department leaders to review, revise and update policies and procedures as needed.  
  • Participate in the development of strategic plans and governance structure in alignment with system priorities and goals; create and modify organizational charts. 
  • Assist with agenda setting, identification of speakers, and logistics for leadership and strategic planning meetings; Participate in other relevant planning and administrative meetings as needed. 
  • Develop and implement uniform procedures to recruit, select, orient, and train employees, student learners, and volunteers across all departments and programs; ensure compliance. 
  • Develop core competencies for job positions, develop uniform job descriptions, and identify professional development opportunities for staff. 
  • Identify and communicate best practices for evaluating performance and conducting performance reviews. 
  • Provide guidance to department leaders on human resource management policies and procedures such as corrective action, performance improvement, termination, performance management, leave of absence, timekeeping, etc. 
  • Provide oversight of third-party consultant’s usage and facilitate execution and maintain records of independent contractor agreements. 
  • Assist in actively seeking funding opportunities, preparation of funding proposal narratives and budgets, and with proposal submissions. Create and maintain tracking database of funding proposal submissions.  
  • Ensure compliance with HFHS and funding sponsor regulations and guidelines. 
  • Monitor grant set-up and execution of contracts and agreements (i.e., subawards, business associate agreements, data use agreements, service agreements, memorandums of understanding/agreement). 
  • Monitor and control budget variances to meet finance targets; continually identify process improvements and cost savings; provide financial oversight of grant expenditures, cost transfers, requests to re-budget, and requests for no-cost extensions; and provide guidance to department leaders on monitoring and controlling costs.  
  • Participate in assessment of the return on investment for interventions, quality improvement initiatives and related projects. 
  • Approve requisitions for payment. 
  • Provide oversight of office space and facilities utilization, network administration, and distribution of cellular phones and portable computer devices. 
  • Responsible for reviewing employee engagement survey results, identifying best practices and overseeing implementation of impact plans. 
  • In conjunction with other department and program directors, create and monitor operational, strategic and analytical dashboards to track deliverables, key performance indicators and identify trends. 
  • In conjunction with other department and program directors, develop and conduct an evaluation process to assess the added value of department programs and services to the System. 
  • Responsible for conducting training and providing guidance to directors, project managers, coordinators, and other administrative staff on human resource management (e.g., talent selection, onboarding, performance management), financial management (e.g., creating and monitoring budgets, using software to monitor and manage expenditures, cost transfer), grant management (i.e., time and effort reporting, submitting IRB applications, setting up new projects), and other related administrative duties.  
  • Perform other duties as directed by the SVP/CWO/CDO. 
EDUCATION/EXPERIENCE REQUIRED:
  • Bachelor’s degree in health services administration, health administration, public administration, business administration, public health, or related field.  Master’s preferred. 
  • Minimum of 5 years of related leadership experience in healthcare, university or non-profit environment required. 
  • Proven skills leading strategic planning, finance, human resource, funding proposal submission, and other related operational functions is a must. 
  • Requires excellent organization, written and verbal communication, interpersonal and relationship building skills. 
  • The abilities to manage processes, promote process improvement, work effectively as part of a team, motivate others, and work comfortably with diverse populations are also key. 
Minimum Pay: $64,364
*This rate is the minimum pay for the position. Actual compensation will be based on education, years of experience and other factors at the time of offer.
