Under direct supervision of the Development Office Manager of Administration, the Coordinator, Special Projects, will provide project-focused, general office coordination and administrative support to multiple teams in the department. Currently this position requires four days in the office with the opportunity for occasional hybrid work. It's an exciting time to join the Henry Ford Development Office team as we conduct a fundraising campaign to establish a new hospital and research campus in Detroit.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:
1.  Support multiple Development Office teams including, but not limited to: Gift Processing, Information Services, and Operations.

2.  Front desk presence and answering/routing Development Office phone inquiries.

3.  Coordinate, track and stock office and kitchen supply orders.

4.  Process and deposit donations (checks and cash) in collaboration with the Gift Processing team.

5.   Manage and process purchase order and check requests for the office.

6.  Collect and prepare incoming and outgoing office mail. Examine, sort, and route mail appropriately to team members. Update any returned mail.

7.  Prepare and scan various documents for electronic retention purposes, ensuring data quality and accuracy.

8.  Input sensitive donor information using Raiser’s Edge software.

9.  Schedule and organize meetings, review materials, and coordinate written and verbal communication to meeting attendees.

10.  Collaborate and/or serve as backup to other office coordinators. 

 

EDUCATION/EXPERIENCE REQUIRED:

·         Requires an associate degree in business or a secretarial field from a business school or college in order to compose and prepare a variety of confidential reports, tables, memorandums, etc., and a minimum of three to five years progressively more responsible related work experience necessary in order to gain in-depth understanding of organizational policies, procedures, and operations in order to assume a variety of high-level administrative details.

·         GED/High School diploma and a minimum of five to seven years progressively more responsible related work experience in order to compose and prepare a variety of confidential reports, tables, memorandums, etc. and to gain in-depth understanding of organizational policies, procedures, and operations in order to assume a variety of high-level administrative details.

  1.         Proficient with Microsoft Office Suite: Word, Excel, PowerPoint, Access, etc.
  2.         Adept with videoconferencing and other web-based technology. 
  3.        Conscientious and thorough in character
  4.         Tact and sensitivity in working with prospect information and donors. 
  5.  Collegial individual who can anticipate needs of team members. 
  6. Energetic, self-motivated, flexible and the ability to work collaboratively and independently in a fast-paced work environment.
  7. Excellent customer service, organizational, oral and written communication skills.
  8. Knowledge of relevant philanthropic principles, practices, and techniques preferred.
  9. Experience in a large and complex healthcare system a bonus.
