Ambulatory Operations Coordinator

Location: Northwest region (West Bloomfield, Bloomfield Township, Plymouth, Beck Road, or Columbus)

General Summary

Under the direction of the Ambulatory Operations Director (AOD), the Ambulatory Operations Coordinator (AOC) independently performs a wide range of operational, administrative, and project coordination responsibilities in support of ambulatory medical center operations across the Northwest Region. This role serves as a key liaison and primary point of contact for internal and external stakeholders regarding day-to-day operational needs, building support, communication, and site coordination.

The AOC supports multiple ambulatory locations and collaborates closely with clinical leadership, facilities, environmental services (EVS), security, IT, supply chain, landlords, vendors, and ancillary departments to ensure efficient and effective operations. Responsibilities include operational oversight, project coordination, reporting, community outreach, facility event support, and maintaining operational readiness for assigned sites.

This position requires strong organizational and communication skills, the ability to manage multiple priorities independently, and a proactive approach to resolving operational concerns in a fast-paced healthcare environment.

Principal Duties and Responsibilities

  • Serves as the primary operational resource for assigned ambulatory sites, supporting day-to-day building and operational needs.
  • Coordinates maintenance requests, repairs, signage, vendor services, and facility-related concerns in partnership with facilities, EVS, security, IT, and clinical leadership.
  • Acts as the point of contact and proxy for the Ambulatory Operations Director regarding building concerns, tenant communication, landlord correspondence, and operational inquiries.
  • Supports operational preparedness activities including fire drills, emergency response coordination, and issue resolution related to power outages, water intrusions, and other urgent facility situations.
  • Coordinates and supports construction oversight, office space utilization, and operational planning activities for assigned sites.
  • Prepares agendas and moderates operational huddles and meetings as needed.
  • Develops and maintains spreadsheets, dashboards, reports, tracking tools, presentations, and other professional documents to support operational decision-making.
  • Supports organizational initiatives, special projects, community outreach efforts, and facility events across the region.
  • Travels regularly to multiple ambulatory locations within the Northwest Region based on operational needs and building coverage assignments.
  • Maintains confidentiality of sensitive information encountered in the course of work.

 

 

Education and Experience Required

  • Associate degree in Business, Healthcare Administration, or a related field, or an equivalent combination of education and experience required.
  • Bachelor’s degree preferred.
  • Minimum of four (4) years of progressively responsible administrative or operational support experience preferred.
  • Previous healthcare, ambulatory operations, facilities coordination, or project management experience strongly preferred.
  • High School diploma or equivalent required.

  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills with the ability to interact effectively with individuals at all levels of the organization.
  • Ability to manage multiple concurrent priorities and work independently in a fast-paced environment.
  • Advanced proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and related software.
  • Strong interpersonal skills and the ability to navigate ambiguity while maintaining professionalism and customer service excellence.
