Sales Operations Administrator (Hybrid - Troy, MI) - Health Alliance Plan

GENERAL SUMMARY:
Develops and administers several projects which facilitate process improvements and increases operational effectiveness between Sales and intra-departments. Collaborate with Sales teams, Management and external vendors to ensure corporate compliance with Federal and State mandates. Partner with Sales Management to develop and deliver sales training as needed.
Collaborates with Sr Sales Operations Admin to organize and send communications to employer groups for collection of data, or dissemination of vital group information, such as CMS group size requests, SSN data, and MLR rebates. Responsible for securing all group data (rates, product, class, etc.) and accurately completes & submits the employer group setup (new business and renewal) in Salesforce. Ensure data has been correctly loaded into Facets and collaborate with the appropriate Sales staff member to resolve all group service and maintenance issues.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
- Assist with and/or lead projects or phases of large projects to a successful conclusion. Oversee Project Teams and ensure that project resources are utilized in an effective and efficient manner.
- Plan and schedule user training related to the project's implementation.
- Document and communicate process models, project scope, deliverables and commitments.
- Monitor progress, change control, issue resolution.
- Manage scope change, issue resolution, and negotiate change in deliverables.
- Ensure appropriate documentation for user manuals, training materials.
- Provide feedback to line manager on team member performance.
- Provide post implementation support.
- Provide post implementation project review.
- Monitor and track new sales and renewal groups through the Sales department workflow tool from the quoting process to the sold and/or renewed status.
- Complete the employer group set-up with all detailed information about the group (new business/renewal) including but not limited to class, product and sub-group for loading into Facets.
- Research and resolve all Facets/group related data issues including but not limited to rates, product, class, subgroup and other group demographic data (group address, contacts, producers, consultants, phone numbers, etc.).
- Assist Sales team members with understanding and resolving operational issues resulting from newly implemented Sales Operations policies/procedures, new products, and/or Federal/State mandated items. Resolve and troubleshoot interdepartmental operational issues and recommend updated or new policies/procedures to address any issues/concerns.
- Provide the technical team updated departmental information and relevant materials which need to be on the oneHAP Sales Page (internal/external sites). Coordinate the updating/posting of sales materials on our external HAP portals.
- Have complete understanding of the various Sales Units and their operational needs and cross-functional interactions in the sales process and operational efficiencies (New Business, Consultant Business, Large Group Service, Small Group Service, Labor Affairs, Producer Relations) to be able to work effectively with other coordinators and co-workers within Sales department.

EDUCATION/EXPERIENCE REQUIRED:
- Associates Degree in Sales, Marketing, Accounting, Finance, Business Administration or Behavioral Sciences. Relevant work experience of at least four (4) years may be considered in lieu of educational requirements.
- Minimum of (2) years of diverse and progressive experience in the area of Account Management, Sales and Service.
- Minimum of (2) years of experience with group health benefits.
- Minimum of (2) years’ experience in multiple product lines, i.e., HMO, PPO, POS, CDHP, and funding levels, i.e., fully insured & self-funding, preferred.

- Comprehensive understanding of the sales and service process, including the different operational needs of the various types of business.
- Knowledge of laws affecting the delivery of health care benefits and services to the employer group market.
- Ability to work evenings and weekends if necessary.
